Air Travel Guidelines

CreativeOne has partnered with Novus Travel to assist you with your flight arrangements in and out of Hawaii. Air travel is based on the lowest fares available at the time of ticketing out of a major U.S. airport and is subject to certain airline regulations.

You will be flying into Kahului Airport (OGG) on the island of Maui. To ensure the best flight options and seat preferences, we encourage you to complete your registration as soon as possible.

A proposed itinerary will be sent via email to the address provided at the time of registration. You should see a proposed itinerary within five (5) business days of the receipt of your registration. Please approve the itinerary by replying to: events@novustravelltd.com within 24 hours of receipt of itinerary. Tickets cannot be issued until your approval email has been received.

Reservations requiring 24-hour ticketing will be noted on your itinerary. Every attempt will be made to secure airline reservations as close to your preferred request as possible, based on flight availability at the time your registration is received and your itinerary is approved. E-tickets (electronic tickets) will be issued whenever possible.

Airfare price increases incurred due to travel outside of our regular program dates, specific airline requests or changes you request after ticketing, will be your responsibility. Your credit card will not be charged until we have an approved itinerary from you. Flight itineraries and fares cannot be guaranteed until tickets are issued, and tickets cannot be issued until your approval email has been received.

In compliance with airline rules, once a ticket is issued, it is nonrefundable and, in most cases, a name change is not allowed. In addition, please note the following:

• Any changes/cancellations made to the outbound flight must be made prior to the original departure date for the ticket to be valid (i.e., if you miss your flight, and do not contact the airline, your ticket will not have any value for future use and your return flight will be cancelled).
• Additional airline fees may apply for changes confirmed after your ticket has been issued.
• Same-day standbys are allowed on most airlines based on availability. A fee will be incurred, and you will be responsible for any additional airfare.

IMPORTANT: For ticketing and airport security purposes, you must enter your name exactly as it appears on your driver’s license. If you normally go by a different name or would prefer to be called by a nickname, please enter the nickname in the name badge section on your registration form.

Air Upgrades

To upgrade your flight, you will need to work directly with Novus Travel. Frequent flyer redemption for upgrades is the responsibility of the passenger. Please note: You will be responsible for the additional costs of class upgrades and/or for booking certain flights that you find available for upgrades using your frequent flyer miles. Fares and class of service is based on availability at the time of booking.

Seating Preferences

Seating preference will be assigned whenever possible. Bulkhead or exit row seating can only be assigned at the airport on the day of departure.

Airport Check-In

We recommend you check-in at least two hours before your flight is scheduled to depart. An agent will provide you with a boarding pass and luggage claim check. Please be sure the final destination on your claim check is OGG.

Luggage Allowance

Airline rules differ from carrier to carrier regarding checked luggage allowances. Some charge fees, some don't. As each airline carriers’ rules vary, and are constantly fluctuating, please go online to your carrier’s website for additional information. We suggest you pack eyeglasses, contact lens supplies, toiletries and medications in your carry-on luggage. When possible, keep all medication in its original container. Liquid carry-on items must adhere to the TSA guidelines for air travel.

Your luggage must adhere to the general limitations established by the airlines. Each airline has its own guidelines, and you will be charged a fee by the airlines involved for extra, oversized and/or overweight luggage. If you are concerned about the size, weight or number of pieces of luggage your airline allows, please go to your airline carrier’s website and review their luggage allowances. Luggage fees are at your own expense.

Arrivals into the island of Maui

Upon arrival in Maui (OGG), you will proceed to the baggage claim to retrieve luggage and head toward the exit area. Look for airport greeters dressed in white and blue Aloha shirts holding CreativeOne signage. These individuals will check your name off of a list and assist with luggage as they escort you to the vehicle that will take you to the resort.

If you have opted to arrive or depart outside of CreativeOne’s program date(s) you will be responsible for arranging and paying for your own transportation to/from the airport to the Hyatt Regency Maui Resort and Spa.

Weather

With highs traditionally in the 70s and 80s, you can expect warm, pleasant days perfect for exploring the beaches, soaking up the sun, and enjoying outdoor adventures. The trade winds bring a refreshing breeze, keeping the atmosphere comfortable and inviting.

Suggested Attire

We encourage you to embrace the island vibe and make yourself as comfortable as you like. All of the CreativeOne-hosted events are resort-casual. Shorts are acceptable, but you may wish to throw in a nice pair of slacks or sundress just in case you choose to explore nearby restaurants that may have a slightly elevated dress code. Don’t forget essentials like sunglasses, a sunhat, sunscreen, and swimwear for enjoying the beach and pool. You might even throw in a light jacket for unexpected cooler evenings.

Time

Hawaii is three hours behind the West Coast, five hours behind the Midwest, and six hours behind the Eastern Seaboard.

Buy-In

A trip buy-in option will be available for those interested; however, please note it will be based on availability and comes at a significant cost.

To be fully transparent—while we make no profit on these trips, the costs we pass along reflect the elevated experience we’ve planned. Group travel often includes significant service charges, and the enhanced events and exclusive touches come at a premium. While it’s true you could take this trip independently at a lower cost, what you’re investing in here is the unique, curated experience designed to celebrate and reward you in a truly unforgettable way.

Extending Your Stay

If you are planning to extend your stay in Maui, or island hop pre/post stay, please select your preferred departure and/or return dates and note your travel extensions in the travel section of the registration site. You are responsible for all costs associated with your extension.

If your plans include additional nights at the Hyatt Regency Maui Resort and Spa, please notify the Novus Travel team to confirm availability prior to booking your flights.

Travel Packets

You will receive a travel packet in the mail approximately two weeks before the event departure. It will contain pertinent information regarding the upcoming trip. Please read it thoroughly upon receipt and contact CreativeOne Event Staff if you have any questions or notice any discrepancies.

Change and Cancellation Fees

Please plan your trip carefully. Name changes will be treated as a cancellation and cancellation fees may apply. Any changes or cancellations will be at the expense of the attendee.

Not Included

You are responsible for any additional costs due to travel or hotel upgrades, air costs due to deviating from group dates, airport transfers outside of program dates, food and beverage outside of CreativeOne-hosted events, phone calls, airport parking, luggage fees, souvenirs and any other items of a personal nature, including on-site spa treatments and specialty classes.

Included

CreativeOne will be responsible for round trip airfare from the nearest major airport to Kahului Airport, as well as accommodations at the Hyatt Regency Maui Resort and Spa. Additionally, CreativeOne will cover ground transportation upon arrival and departure from OGG on program dates, food and beverage for defined functions, taxes, and gratuities. Additional gratuities are at your own discretion and expense.

Physical disabilities requiring special attention, treatment, or facilities must be communicated to CreativeOne in the "Special Needs" section of the event registration.
